Zoom Workspace Reservations

Use Zoom Workspace Reservation to reserve available conference rooms, desks with docking stations, and, at some locations, private offices.

About Zoom Workspace Reservation

Zoom Workspace Reservation allows you to find and reserve available workspaces. Depending on the location, available spaces may include conference rooms, desks with docking stations, and private offices.

You can select a campus, building, or floor; filter by workspace type, capacity, or available equipment; and review the features associated with a space before reserving it.

Reserve a space in a web browser

  1. Open the Baker College Zoom web portal and sign in using single sign-on (SSO). If prompted for the company domain, enter bakercollege.zoom.us.

  2. Open Workspaces. Depending on the Zoom portal layout, select the Zoom Products icon and then Workspaces, or select Workspace Reservation from the navigation menu.

  3. Select the reservation date, time, location, building, and floor. Available workspaces appear on the map. Select a workspace to review its details and available equipment.

  4. Use Filter to limit the results by workspace type, capacity, or assets, such as a docking station.

  5. Select the workspace you want to reserve. Review the workspace details and select Next or Reserve, as displayed.

  6. Adjust the start and end times by using the displayed time fields or timeline, and then continue.

  7. Review the reservation details and select Reserve. For a Zoom Room reservation that creates a new Zoom meeting, enter a meeting topic if prompted. Zoom automatically generates a meeting passcode, which you may be able to edit.

If calendar events are enabled for Baker College Workspace Reservation and your calendar is connected to Zoom, the reservation is added to your connected calendar. See Optional: Enable calendar permissions.

Reserve a space in the Zoom Workplace app

Workspace Reservation is available from the current Zoom Workplace desktop and mobile apps when the feature is enabled for your account.

  • Computer: Sign in to Zoom Workplace and select Workspaces. If the tab is not visible, select More, and then select Workspaces.
  • Mobile device: Sign in to the Zoom mobile app, tap More, and then tap Workspaces.

Select the date, time, campus, building, and floor. Use the map and filters to choose an available workspace, review the details, and complete the reservation.

Note: The desktop screenshots below show an earlier Baker Zoom Apps layout. The current application may display a direct Workspaces tab instead. The table layout and image placement have been retained for reference.

Check in to or out of a reservation

Some workspaces require check-in. For Baker spaces using the current 30-minute setting, you may check in beginning 30 minutes before the reservation start time and must check in no later than 30 minutes after the start time. If you do not check in on time, Zoom releases the workspace so another person can reserve it.

You may be able to check in by:

  • Selecting Check In in a Zoom reminder email.
  • Opening Workspaces or My Reservations in the Zoom Workplace desktop or mobile app.
  • Scanning the QR code posted at the workspace, when available.
  • Starting the scheduled meeting, an instant meeting, a Zoom Phone call, or a screen share in an equipped Zoom Room.

Select Check Out when you leave early so the remaining reservation time becomes available to others. Check-in may be disabled for some spaces, including selected conference rooms.

Modify or cancel a reservation

  1. Open Workspaces in the Zoom web portal or Zoom Workplace app.

  2. Select My Reservations or Reservations, depending on the application layout.

  3. Open the reservation or select its ellipsis or More menu.

  4. Select Edit Reservation to change the date, time, or location. Select Delete Reservation or Cancel Reservation to cancel it.

Optional: Enable calendar permissions

Connecting your Baker Google Calendar to Zoom allows supported Workspace Reservation events to appear on your calendar. The calendar integration is optional and may be controlled by Baker College Zoom settings.

  1. Open the Baker College Zoom web portal, sign in, and select Profile.

  2. Under Others, locate Calendar and Contacts Integration, and then select Configure Calendar and Contacts Service.

  3. Select Google.

  4. Set the calendar permission to Read and Write. Contacts permission is not required for Workspace Reservation calendar events unless Baker College directs you to enable contact synchronization.

  5. Select Next, sign in to your Baker Google account if prompted, review the requested access, and authorize Zoom to access your calendar.
