What are Zoom Rooms?

Zoom Rooms is a conference room system that provides audio, video, and screen sharing. Use the in-room Zoom Rooms controller—the conference phone touchscreen—to start or join a Zoom meeting and manage meeting controls. People in the room and remote participants can join the same meeting from their own devices.

Start or join a Zoom meeting

Use the Home screen on the Zoom Rooms controller. Available buttons may vary slightly by room configuration and software version.

  1. To start an immediate meeting, tap New Meeting, when available.
  2. To join an existing meeting, tap Join, enter the meeting ID and passcode if prompted, and then tap Join.
  3. To start a scheduled meeting shown on the Home screen, select the meeting topic and tap Start.

Invite others to a Zoom Room meeting

  1. During the meeting, tap Manage Participants. On a Zoom Rooms for Touch display, tap the ellipses (...) first if the on-screen controls are hidden.
  2. Tap Invite.
  3. Choose an invitation method:
    • Contacts: Search for and select a Baker company contact, and then tap Invite.
    • Email: Enter the participant's email address, and then tap Send Invitation.

Participants may also join manually using the meeting ID and passcode provided in the meeting invitation.

Share your screen in a Zoom Room

Zoom Rooms support several sharing methods. The following steps describe sharing from the Zoom Workplace app on a participant device joined to the meeting.

  1. Join the same Zoom meeting from your computer or mobile device.
  2. Select Share in the meeting controls.

  3. Select the screen or application you want to share, and then select Share.

  4. When finished, select Stop Share.

Alternative: Tap Share Content on the Zoom Rooms controller and follow the on-screen instructions. Available methods may include direct sharing, share.zoom.us, AirPlay, or HDMI, depending on the room configuration.

Note: The meeting host can use Advanced Sharing Options to control who may share and whether another participant can begin sharing while a share is active.
