1.0 Purpose

The purpose of this policy is to define the conditions and processes under which  a student may be withdrawn from one or more courses.

2.0 Definitions

College-initiated Withdrawal - A withdrawal from a course or courses, initiated by the College, based on predetermined academic or behavioral criteria.

HiveConnect - The student success management system used by Baker College to document and track administrative withdrawal decisions and related communications.

Student-initiated Withdrawal - A withdrawal from a course requested and submitted by the student through the College’s official withdrawal process.

3.0 Scope

This policy applies to any Baker College course for which a student may be registered.

4.0 Policy Statement

Students are permitted to withdraw from a course up to the end of the week preceding the final week of the course. The official withdrawal date is the date on which the  withdrawal request is submitted through the College’s approved system.

Tuition refunds, where applicable, are determined based on the official withdrawal date.

The College may initiate a withdrawal from a course or courses when:

  • A student fails to demonstrate academic engagement during the initial week of instruction,
  • A student is not making satisfactory academic progress as determined through faculty alerts, or
  • A student violates the Basic Principles of Student Responsibility Policy or other related policies.

Decisions regarding College-initiated withdrawals are made by the Director of Student Affairs or a designated College official

5.0 Procedures

Student-initiated Withdrawal

  1. The student accesses the Withdrawal Request Form in MyBaker (MyBaker → Students → Academic Services → Course Information → Withdrawal Request).
  2. The student completes and submits the Withdrawal Request Form.
  3. The withdrawal is processed within 1–2 business days, and a grade of “W” is recorded in the student’s academic record.
  4. The student is encouraged to contact an academic advisor for guidance prior to withdrawal or for assistance with completing the process.

College-initiated (Administrative) Withdrawal

  1. Faculty submit records of academic activity for all registered students at the end of the drop/add period.
  2. If a student does not demonstrate academic activity during this period, the student is administratively withdrawn from the course.
  3. Faculty may submit alerts through HiveConnect if a student demonstrates lack of academic progress or activity after the drop/add period.
  4. The Director of Student Affairs reviews submitted alerts and determines the appropriateness of an administrative withdrawal.
  5. If withdrawal is approved, the Director of Student Affairs:
  • Notifies drop@baker.edu to remove the student from the course,
  • Documents the withdrawal in HiveConnect, and
  • Notifies the student of the withdrawal decision.
  1. Administrative withdrawals may also occur as a result of violations of the Basic Principles of Student Responsibility Policy or other relevant College policies.

6.0 Responsibilities

Student 

  • Submit the Withdrawal Request Form through MyBaker when initiating a course withdrawal. 
  • Seek guidance from an academic advisor if support is needed before or during the withdrawal process.

Faculty

  • Record and report student academic activity at the end of the drop/add period.
  • Submit alerts through HiveConnect when a student demonstrates lack of academic engagement or progress.

Director of Student Affairs (DSA)

  • Review faculty-submitted alerts and determine whether an administrative withdrawal is appropriate.
  • Notify drop@baker.edu to remove the student from the course.
  • Document withdrawal actions in HiveConnect.
  • Notify the student of the administrative withdrawal decision.
