Can I change the colors of my Mail window?

Yes. You can change Gmail’s appearance (background/theme and density).

Open Gmail, click the Settings (gear) icon (at the top-right of the screen). Choose Theme.

Pick a theme or choose My photos for a custom background.

 

What is the maximum number of characters I can use for my email signature?

Gmail signatures can be up to 10,000 characters (images/formatting count toward that limit).
 

Can I format my email signature and add graphics?

Yes. You can use formatting (bold, colors, and links) and add an image (such as a logo). Baker College signature images are located in the Baker College Style Guide

Open Gmail, and click the Settings (gear) icon (at top-right of the screen). Click "See all settings", and then under the general tab, and then signature, create new (or edit existing). Set signature defaults (for new emails + replies/forwards). Optional: “Insert signature before quoted text” for replies​​​​​​.

 

Can I change the way Baker Gmail displays the names of message recipients, so their last names appear instead of their first names?

No, the displaying of names in Gmail is an option that is set for the entire organization. However, to see full recipient details on a message, open the email and click the down arrow / “Show details” near the recipient line.

If your own name is displaying incorrectly across Google services, that’s typically a directory/display name issue and may require an IT/admin update.

 

Can I create my own mailing (distribution) lists?

Yes, you can create your own distribution list with its own email address using Google Groups.
 

Can I use Email Clients such as Outlook?

Legacy authentication protocols (POP, SMTP, IMAP, and MAPI) are now blocked by default because they are considered less secure. Newer versions of applications, such as Microsoft Outlook, are now equipped with modern authentication using Browser or Mobile/Desktop App authentications that are compatible with two-factor authentication.
 

Can I use Email Forwarding?

The ability to use automatic Email forwarding is in the process of being phased out for all accounts and is currently discouraged. Emails can still be forwarded individually.
