Event Request Process

1. Check location availability (If you are requesting a specific room)

a. For all requests: check the appropriate Campus Event Calendar for potential conflicts

b. For requests involving classrooms run the Classroom Availability Report at the bottom of the Campus Event Scheduling page to check curriculum schedules

2. Submit an Event Request Form

3. A campus event coordinator will reach out with questions and/or confirmation of your reservation being scheduled

4. Optional: Once you receive confirmation of your reservation check the applicable Campus Event Calendar to verify the event details

Submitting An Event Request

Event reservation requests can be submitted using the Event Request Form 

The form is publicly accessible, however a link to the form must be provided by a Baker College employee for third-party organizations to request an event.

Please be as thorough as possible when filling out the form to ensure that campus event coordinators have the information needed to fulfill your request.

The Event Request Form includes the following fields: 

  • Primary Department or Organization
    • Specify the primary department who is responsible for hosting the event and any external organizations who will be affiliated with the event.
  • Primary Contact Name
    • Specify the individual at Baker College who is primarily responsible for organizing the event and ensuring that the event goes as planned.
  • Primary Contact Email
  • Primary Contact Phone
  • Event Name
    • Provide a short name that can be used to identify the event.
  • Event Description
    • Provide a brief description of the event (the purpose, any benefits it will bring, and affiliation involved, etc.)
  • Date
  • Start Time
  • End Time
  • Recurring Event?
    • If this is a recurring event, please specify the additional dates below (i.e. Every Tuesday from 8/6/24 through 8/27/24).
  • Estimated Number of Attendees
  • Resource Requirements 
    • Provide a list of any specific requirements needed for the event.  For example, A/V Equipment (Microphone, Projector), Computers Access, Wireless Login, Furniture (Tables, Chairs, Podium), Catering: Ordering and/or Setup/Breakdown, Area Access/Unlock, Other, etc.
  • Additional Notes or Details (Optional)
  • Specify Campus
  • Specify Rooms/Location Needed (Optional)
    • If your event requires specific rooms/locations at the campus please indicate them below, otherwise a room/location will be provided that meets the criteria in this request.
  • Specify Room/Location Type(s) Needed
    • Indicate one or more room types that are needed by the event.  If you don’t see a room/location type that is required please utilize the “Other” option and provide a detailed description.

Once you have completed filling out the Event Request Form, click "Submit" and you will be contacted by a campus event coordinator.

Viewing Campus Event Calendars

From the MyBaker home page click the Employee Mega Menu, navigate to Business Applications, and then click on Campus Event Scheduling page. 

The Campus Event Scheduling page contains a calendar for each campus that can be used to view existing event reservations.

Viewing Classroom Availability

From the MyBaker home page click the Employee Mega Menu navigate, to Business Applications, and then click on Classroom Availability Report at the bottom of the Campus Event Scheduling page

The Campus Availability Report allows you to specify a date and time range to view classrooms that are available for use during the specified time. 

Note: Even if the report shows a classroom is available, please verify availability on the applicable Campus Event Calendar.
